Vendor Application for Race for the Rivers Festival

Educational, non-profit, commercial (but not art/craft), and food vendors contact Greenway Network via email for application.

Rules and Regulations


  • Applications must be received and approved by July 25 due to new regulations for Frontier Park.
  • There is a $25 fee for commercial booth space.  Commercial applications will not be considered until the fee is received.  Please mail this to our office at Greenway Network Inc., 215 Indacom Dr., St. Peters, MO 63376 or pay online
  • There is a $5 deposit for non-commercial booth space.  This deposit will be refunded to you the morning of the festival.  
  • Register by June 30 to ensure your name/logo is added to the t-shirts. A fee of $50 for your name or $100 for your logo will apply.


  • Vendors must be approved by the R4R Committee.
  • After approval, vendors can email a high resolution vector file of their logo and a link to their webpage or other social media outlets to for inclusion in qualifying promotional materials.
  • Vendors must comply with all St. Charles city, State of MO, and Federal rules and regulations.
  • Vendors are expected to keep their space clean and to remove all items and trash at the time the event closes. This is a GREEN event. Please minimize the impact on our environment.
  • Vendors not complying with rules or displaying material deemed inappropriate by Greenway Network will be asked to leave and no refund will be given. All materials are expected to be appropriate for a broad audience and as environmentally-friendly as possible.
  • Booths can be set up at Frontier Park at 8:00 AM and must be ready for inspection by 10 AM.  
  • Booths must be staffed and in place from 10 AM - 5 PM of the festival.
  • In accordance with a new St. Charles city regulation, spots will be assigned by the city in advance. You will be be notified of your spot upon arrival the day of the event.  
  • Tents must be 10' x 10' or smaller if occupying one space or 10' x 20' if occupying two spaces.
  • Vendors will need to provide your own tables, chairs, tents and appropriate tent weights.  No stakes are allowed in the park.


  • Vendors making sales are responsible for taxes on merchandise sold - both St. Charles City and MO State taxes.  Please include your taxpayer identification number on your application. If you do not have a taxpayer identification number you will be provided with a valid copy of the concessionaire's report and a tax table at the festival.  Save your self some time and download the MO State form and tax table here and the St. Charles City tax form here.


  • City regulations require that we verify that each tent be flame retardant.  Therefore, a photo of the tent tag must be provided by August 1.  Please email the photo to with a subject line of 'Tent Tag Photo for '.  MMS photos from phones are not acceptable.
  • All booths must have a fire extinguisher.


  • All pre-approved vehicles remaining in the park during the festival must provide a license plate number.
  • All other vehicles must be out of the park by 10 AM.  During breakdown and clean up at the end of the day, there can be no traffic in the park prior to 5:30 PM or until released by on-site security.
  • Truck/trailer parking is not allowed on Riverside Drive.  These vehicles must park at the Boathouse/Bishop's landing parking lot.


  • Food may not be sold without making prior arrangements with Greenway Network. Food vendors will have to conform to all local regulations and standards including permits and insurance. Food vendors are responsible for obtaining their own permits from the St. Charles County Health Department.


  • Vendors requiring electricity or water must make the request at the time of their application. Access to utilities is limited. Electricity and water usage must conform to code requirements including proper extension cords and hoses. Specific requirements will be sent once service has been requested.
  • Vendors may donate promotional materials, samples or other items or coupons to be included in the goody bags given to the R4R participants and/or volunteers. These materials will be added to the bags if provided to Greenway Network by August 1. We anticipate 150+ bags.


  • No domesticated animals are allowed in the park during the festival.
